The Donor Data Clinic

The waiting room is open.

We don't just clean your donor data. We turn it into your next fundraising plan.

Send your messy donor file and in 72 hours it comes back cleaned and prioritized into 7 plays that show exactly who to call, mail, and merge this week. Demand outran what we could handle — so this round is just 25 organizations.

What comes back to you

Seven plays, one quiet weekend.

Every play below is work a small shop would normally hire out — a fundraising consultant by the hour, or a prospect-research subscription that costs more per year than this whole clinic. Most teams can't assemble the tools, let alone find the time. You send one file; we run all seven by hand and send back a multi-page playbook, action lists, and mail-merge templates in 72 hours. No configuration, no add-ons, no scope-of-work calls.

The one you can't buy anywhere

Which of your donors sit on a foundation board.

We cross-match your list against IRS Form 990/990-PF officer and trustee rosters — surfacing a hidden institutional-giving pipeline, with an intro path for each name. Prospect-research platforms lock this behind $4,150/year (iWave) or $1,250–$5,750 per screen (DonorSearch) — and no one sells it as a one-off. With the Donor Data Clinic, this treasure map is yours to own and keep — included in every clinic.

See what your deliverable will look like.

Anonymized sample from a real submission — donor names, emails, phones, and addresses synthesized; everything else intact.

  1. Address rescue

Bad and missing addresses fixed. USPS-deliverable formatting applied across every row, abbreviations normalized (“Main St” and “Main Street” stop showing up as two separate donors), zip+4 added where the source supports it, unparseable rows flagged. The donors you couldn’t mail before — you can now.

  2. Email harvest

Every email run through a 6-pass funnel: syntax check, typo correction (“gmail.con” → “gmail.com”), disposable-domain blocklist, role-inbox detection (info@, donations@), DNS/MX validation, and live mailbox verification through ZeroBounce. Plus a mail-merge-ready list of donors with no email so you can recover them by postcard.

  3. Direct-mail-only outreach

Donors with no email AND no phone — direct mail is your only channel. A ready-to-mail list sorted by lifetime giving, with the stewardship-piece template included.

  4. Household merge

Duplicate household pairs flagged — couples giving twice, joint-credit donors, same-address misses. Stop sending two appeals to the same fridge. Includes a step-by-step procedure PDF for the merges in your specific CRM.

  5. Foundation officer cross-match

Which of your donors sit on the board of — or serve as an officer or trustee of — a private foundation. Cross-matched against IRS Form 990/990-PF officer rosters: a hidden institutional-giving pipeline, surfaced, with an intro path for each.

  6. Top-of-pyramid

Your top 5 donors by share of revenue, with a concentration-risk view (what happens if you lose one). A thank-you call sheet — not an ask — to deepen the relationships your org runs on.

  7. LYBUNT renewal

Gave last year, not this year. The recoverable lapsed cohort, ranked top-down, with suggested asks per donor and a renewal script you can read on the call.

Plus your full cleaned data (CSV, ready to update your CRM), your original upload preserved untouched, and a one-page Read Me First that points to everything — bundled in a single folder.

What this would cost you to piece together.

Hired out to a fundraising consultant at ~$150/hour, by hand — even the “simple” data work most small teams can't self-serve:

  • Address rescue + standardization~$300
  • Email cleaning + recovery~$300
  • Direct-mail-only segmenting~$300
  • Household merge~$750
  • Top-of-pyramid + stewardship sheet~$750
  • LYBUNT renewal plan~$600
  • Foundation board match (needs a $4,150/yr subscription — if a consultant will take it on at all)$4,150+

Piece it together with a consultant: $5,000–$8,000+ and weeks of your time.

The Clinic: $999–$1,999

or just $500–$1,000 when you prepay — 50% off.

Prepay to hold your spot

Consultant figures assume $150/hour, the midpoint of typical U.S. nonprofit fundraising-consultant rates. Board matching covers foundation officers, directors, and trustees listed on public IRS 990/990-PF filings.

Where your data lives

Not sure how to export? We've got you.

Click your CRM for the specific steps. If yours isn't here, email your CRM's support team and ask for “a full constituent export with giving history.” We'll work with whatever they send.

  • Salesforce NPSP

Export path:Reports → “All Donations” report → Export Details.

Export Households separately if you use them. We flag merge candidates instead of running them, so nothing gets quietly renamed to “Anonymous Household.”

  • Bloomerang

    Export path:Reports → Communications → Export.

Send us your custom Groups (your “Loyal Donors,” “Major Prospects” lists) separately — they don’t come through the main export.

  • DonorPerfect

Export path:Reports → Mail Maker or Gift Detail Report → Export to Excel.

If your data crosses fiscal years, request the full giving history. We catch duplicated gift transactions before they inflate a year-end report.

  • Little Green Light

    Export path:Reports → Standard Export → Constituent + Gifts.

Send both files. LGL doesn’t dedup automatically (it’s in their docs) — we do.

  • Neon CRM

Export path:Reports → Custom Report → Export to Excel.

Include Account Type so we know who’s an Individual vs Company. We rebuild lapsed/recurring segments from the gift table directly.

  • Raiser’s Edge NXT

Export path:Lists → Export Constituents, then Lists → Export Gifts as separate files.

Moving to Salesforce Nonprofit Cloud? Clean before you migrate — it’s cheaper than paying your migration consultant to clean it twice.

  • Virtuous

Export path:Reports → Export Contacts + Export Gifts.

If you use Virtuous Giving or Virtuous Marketing, include engagement data so we can segment accurately.

  • Givebutter

Export path:Contacts → Export → Export to CSV. For transactions, either Transactions → Export → Export to CSV (one combined file), or Campaigns → each → Export (per-campaign).

Send everything. Givebutter splits contacts and giving history into separate reports, and we need both to spot lapsed donors and rank prospects. Per-campaign exports are fine too, we combine them on our end. Givebutter emails you each download link within a minute or two.

  • Flipcause

Export path:Reporting → Contact Database Reporting → Contact Records (Generate + Export). Then Reporting → Transaction and Activity Reporting → Donations (Generate + Export).

Send both files. Flipcause keeps contacts and donations in separate reports.

  • Another CRM? Send us whatever export you can produce — CSV, Excel, anything. We'll take it from there.

FAQ

Frequently asked questions

  • What do I actually need to send you?
Your donor list. Any format — CSV, Excel, an export from your CRM (Little Green Light, Bloomerang, Salesforce NPSP, DonorPerfect, Neon, or whatever you use). If you can get it out of your system, we can work with it.
  • How do I get my donor file out of my CRM?
Most CRMs have an “Export” option that lets you download your donor list as a CSV or Excel file. See our “Where your data lives” section above for specific steps. If your CRM isn’t listed, contact your database administrator or your CRM’s support team and ask for a “full donor export with giving history.” We can work with whatever they send you.
  • How long does it take?
72 hours from the moment we confirm receipt of your data. Most nonprofits get their deliverables faster.
  • What if my data is really messy?
That’s exactly who this service is for. You don’t need to clean anything before you send it. Send it as-is.
  • Is my donor data safe?
Yes. Your donor data is secure, used only to deliver your cleanup, handled by our service delivery team, and permanently deleted within 7 days of delivery. See our for full details.
  • What if I don’t like the results?
Tell us. Every cleanup is reviewed by hand, and we stand behind the work. We’ll work with you to make it right.
  • Can I submit more than one file?
Yes — send us everything that matters. Multiple files, multiple spreadsheets, whatever you’ve got. Our team will consolidate them for you.
  • What if I’m not sure my data is a good fit?
Submit anyway. We’ll take a look and tell you. If it’s not a fit for the Clinic, we’ll tell you that — you see exactly what you get before anything moves forward.
  • Who’s behind this service?
The Donor Data Clinic is a service from CharityHowTo. CharityHowTo has been serving the nonprofit sector with training and education for 18 years. The Clinic is our first done-for-you service — bringing the same commitment to quality to a new kind of offering.
